Speaker Ready Room: What it is and Why You Need It

Impactful corporate presentations need a few key ingredients to impress your audience. First, the attendees need to be able to see the presentation vividly and hear the presenter clearly (the responsibility of great event production company.) Second, is a great speech or presentation delivered by a member of your team. In order for your presenter to deliver a great presentation, they need to be fully prepared, calm, and confident. This is why we recommend creating a small Speaker Ready Room.
To do this we set up a few workstations backstage or in an adjoining room. Laptops, projectors, direct audio, and video are connected to the main presentation stage. Presenters can see a mini version of their presentation projected onto a screen while also getting quality time with our technicians. In this Speaker Ready Room, a presenter can relax and prepare further by taking advantage of the following:
- A private space where they can rehearse his or her speech
- A monitor that shows a live feed from the presentation stage so that performers can keep tabs on what is going on real-time
- The ability to make last minute changes to presentations
- Time for our technicians to review presentation and video formats to make sure they will play correctly on the main system
- A check-in with the teleprompter operator to make sure any last-minute changes have been made
- Time for our audio technicians to place wireless microphones on the presenter and to test them thoroughly
- Ability to transfer the presentation from our network to the technicians backstage for display
- Water, Gatorade, and snacks to have on hand (helps hydrate and calm nerves)
